Privacy Policy — SimpleContractorSystems (TCS)
This Privacy Policy explains how TCS handles personal information when you use our websites and Services. For jobs, maps, crew, and homeowner data inside a customer organization, that contractor is the controller and TCS is the processor. This Policy also covers information TCS controls (for example billing contacts and site analytics).

Information we process
- Account and contact details (name, email)
- Billing and subscription records
- Job, map, tally, and invoice data Customer enters (processor)
- Field login: organization code and last four digits of a roster phone number (hashed verifier)
- Technical logs, device/browser data, and security events
- De-identified aggregates for product and industry stats (see below)
Field sign-in
If your organization turns on field login for Map Annotator, we process an organization code and the last four digits of a phone number your employer places on its crew roster. We store a one-way (hashed) form of that sign-in secret. Field sign-in is not used for account-owner, billing, or admin access, and it is not how we verify a formal privacy request — those use your email / office login (or counsel). Your employer controls the roster and when codes are rotated or revoked.
How we use information
To provide and secure the Services, authenticate users, bill Customer, improve the product, communicate service messages, and comply with law. We may use and license de-identified aggregated marker/billing-code/production statistics; we strip identity; privacy requests do not unwind those aggregates.
Sharing
We use subprocessors (for example hosting, email, payments) under contracts. We do not sell personal information. We may disclose information if required by law or to protect rights and security.
Retention
Compliance records related to privacy requests (receipts / register / journal) are retained 3 years, then purged. Certain security tombstones used to prevent replay may be kept permanently in pseudonymous form. Business data retention follows Customer’s account and our Order Form / cancelation terms.
Your choices and requests
- Commercial export (Customer): after cancel, paid-up accounts may receive data (not photos) for 30 days.
- Statutory profile requests: contact us using the email on the Account; we verify by control of the account email (or a higher bar counsel sets). Unpaid invoices do not block a statutory profile request. Personal requests do not erase the organization’s job/business records.
- Requests about someone else’s data go to counsel / a verified process — not self-serve erase of another person.
- Live in-product erase tooling may remain limited until operations drills are complete; email intake still works as published.
US-only / children
Services are for US business users. Not directed at children under 13.
Governing law
Texas law; exclusive venue Harris County, Texas (see Terms of Service).
